Automated e-gates have been surveyed, discussed at ministerial level and described as a pilot, but you should not plan a trip around them. What an officer wants to see is simple: a passport with enough validity, a visa or visa approval issued before you fly (or a NICOP/POC card if you are of Pakistani origin), and answers that match your paperwork. Everything that makes the first hour after landing go well sits outside the counter: the name and number of the person meeting you, the vehicle, the meeting point, and a plan for when a phone has no signal. This brief puts both halves in one pack, so the traveller boards with it and the travel coordinator knows it has been received.

What FIA immigration at Islamabad airport actually checks

FIA immigration at Islamabad airport sits under the agency’s Immigration Wing, whose published remit starts with the examination of travel documents of arriving and departing international passengers. The same wing enforces the Exit Control List and feeds arrivals and departures into the Integrated Border Management System, which the FIA says runs at 14 airports including Islamabad. In practice that means your passport is scanned, your record is created or matched, and the officer decides whether your documents and your stated purpose agree.

The documents differ by who you are. This is where most business travellers go wrong: a colleague’s experience is not your experience if you hold a different passport.

Passport validity and the visa route

The UK Foreign, Commonwealth & Development Office says a British passport must have an expiry date at least six months after the date of your visa application, that the visa must be obtained in advance, and that you should make sure your passport is stamped on arrival. Applications go through the Pakistan Online Visa System run by NADRA, which lists visit, business, work, student and official categories and says citizens of 175 countries can use it. The same portal states that citizens of 95 countries are eligible to apply for visa on arrival under the business category, and 50 under tourism. Check your own nationality on the portal rather than trusting a list in an email; the government notes that issuing a visa is its prerogative and that you should plan travel only once the visa is granted.

NICOP and POC holders

The FCDO says holders of a valid NICOP or SNICOP are treated as Pakistani citizens and can enter without a visa. The card’s expiry now matters as much as the passport’s, so put both dates in the brief.

At the counter

The Pakistan Airports Authority’s Islamabad arrival procedure lists separate sections for overseas Pakistanis, foreigners, taxpayers and special persons, and bans mobile phone use in the queue. Send the “landed” message from the airbridge, then put the phone away.

E-gates at Islamabad airport: plan for the counter, not the kiosk

Anyone reading about e gates Islamabad airport in the news could assume they are already live. The reporting describes a programme still moving through stages. The timeline, as published:

  • April 2025: The Express Tribune reported that a German firm had completed a feasibility survey and judged Islamabad suitable for e-gates in both arrival and departure areas, with Lahore and Karachi surveys to follow.
  • December 2025: reports said the FIA, the Pakistan Airports Authority and NADRA were coordinating installation plans for Karachi, Lahore and Islamabad, with no completion date given.
  • April 2026: Pakistan Today reported a meeting chaired by the Interior Minister on a combined one-window clearance system with biometric e-gates, with Islamabad the likely first site in a phased rollout.
  • September 2026: Geo News quoted the FIA’s immigration leadership describing e-gates as a pilot for eligible passengers, naming work-permit holders and travellers whose credentials can be verified digitally.

So, who can use them? As of this writing there is no published eligibility list for a live e-gate lane at Islamabad, and the FIA’s own Immigration Wing page still lists manual clearance instead of biometric processing among its current limitations. The sensible working assumption for a business traveller is a staffed counter. If e-gates open during your trip, treat them as a bonus, and check the airport or FIA channels on the day rather than a months-old article (this one included).

The practical consequence is timing. Pakistan Today reported a target of under 45 seconds per passenger once biometric gates run. That is a target, not a timing you can give a driver.

Arrival forms and health declarations

Paperwork at Islamabad is lighter than many travellers expect, but it is not zero, and the exceptions are specific.

  • Disembarkation forms: the PAA arrival procedure states that Overseas Pakistani Card holders are exempt from submitting disembarkation forms. If you are not in that group, have a pen in your hand luggage and your hotel address written in your brief, because the address is the field people leave blank.
  • Health desks: the same procedure says passengers arriving from Liberia, Sierra Leone, Mali and Guinea must report to the Ebola desk before immigration. If your routing includes one of those countries, tell the coordinator; it adds time.
  • Yellow fever: the FCDO says a yellow fever certificate is required if you are arriving from a country listed as a transmission risk. That includes some transit patterns, so check your whole itinerary, not only the last flight.
  • Polio: the FCDO says a polio vaccine is required for entry in some circumstances. Check its health section for your case and carry the certificate if you have one; it weighs nothing.
  • Screening: the FCDO says travellers may face enhanced mpox screening and preventive measures on entry, including testing. Build a little slack into the pickup time.

Customs is part of the same walk

After baggage claim you choose the green channel (nothing to declare) or the red channel (items subject to duty); anything taxable or restricted belongs in the red. If you carry product samples, ask your host how they are normally declared. The FCDO warns that importing alcohol or pork products is illegal and can lead to detention.

The transport half: driver, vehicle and contact details to carry

An officer can only slow you down. A missing or unidentifiable car can strand you. For the ground leg, the brief should contain seven fields, filled in by the transport provider and checked by whoever organised the trip:

  1. Driver’s full name as it will appear on the name board, and the name the driver will show on the board (your name, your company’s, or a reference). Agree which one; a board reading “Mr Khan” in Islamabad is not an identifier.
  2. Driver’s mobile number in international format, marked whether it takes WhatsApp calls, and a second number for the dispatcher or operations desk.
  3. Vehicle model, colour and registration plate. The plate is what you check before putting a bag in the boot.
  4. The meeting point, described in words a stranger could follow (see the next section).
  5. Flight number and scheduled arrival, so the driver can track the right flight, not a similar one from the same hub.
  6. Destination address with a landmark and a contact at the hotel or office, because addresses in sectors such as Blue Area or F-7 are easier to find with a named building.
  7. Booking reference and what has been agreed about waiting time, luggage and any stops.

Ask for these details a day before landing, not on the morning. Why the airport’s own rules shape this list

The PAA’s entrance gate guidance for Islamabad says the Airport Security Force carries out body and under-vehicle searches at entry points, that cars and taxis from the twin cities should use Gate I, and that only one greeter is allowed per passenger because of space. So the driver needs time to clear the gate search before you land, and a welcome party will not fit in the hall: if a senior host meets you, the driver waits with the car.

An offline copy of the meeting point and booking

Assume the phone will be useless for the first half hour: the eSIM may not have activated, roaming may lag and public Wi-Fi may need a sign-up step you cannot complete. The brief should already be on the device and on paper.

What “offline” means in practice:

  • A screenshot, not a link. A link to a booking page needs data. A screenshot of the page with the driver’s name, plate and number opens in airplane mode.
  • A one-page PDF saved to the phone’s files, plus a printed copy in the jacket pocket rather than the checked bag.
  • The meeting point in words. For example (an illustrative wording, to be adjusted to what your provider confirms): “After customs, walk into the arrivals hall. The driver stands with a board showing your company name. If you cannot see him within ten minutes, stay inside the hall and call the dispatcher number below.”
  • Offline map area downloaded for Islamabad and Rawalpindi, so the traveller can see the route and the destination without data.
  • Numbers written out in full, including country code, not saved only as contacts that may not sync.

The PAA arrival sequence at Islamabad runs from immigration to baggage claim to the green or red customs channel and then out into the public area. Your meeting point should be defined after that last step, never “at the gate” or “at the belt”, because greeters cannot reach those areas.

Who to call if the pickup is missing

This is the section of the brief that earns its keep. A tired traveller who cannot find a driver soon starts considering whoever approaches them. The brief should remove the need to decide anything.

The escalation ladder

  1. Stay in the public arrivals area. Do not go out to the road or the car park looking for the car. The driver is looking for you in the hall.
  2. Call the driver on the number in the brief. If you have no signal, try the terminal Wi-Fi, or ask your airline’s desk whether they can help you reach the number.
  3. Call the dispatcher or operations number after one unanswered attempt. The dispatcher can reach the driver when you cannot.
  4. Message the trip coordinator at home or in the office with the time, the problem and your exact location. They can chase the provider while you wait.
  5. Use the fallback agreed in advance, such as the hotel’s own car or a second provider, at a time limit agreed before departure (for example, 30 minutes after you reach the hall).

Building the brief: a timeline that works

A brief assembled at the gate looks complete when it is not. Four checkpoints are enough:

  1. Four weeks out: check passport validity against the six-month rule and any NICOP/POC expiry, apply for the visa in the right category with the host’s invitation letter, and request the airport transfer with flight number, passenger count and luggage.
  2. 72 hours out: print the visa approval and supporting letters, check the routing for yellow fever or health-desk triggers, and agree the fallback and its time limit.
  3. 24 hours before landing: receive the driver, number, vehicle and plate, write the meeting point in words, and ask the traveller to confirm the brief is saved offline.
  4. On the day: the traveller messages “landed” before disembarking; the coordinator stays reachable until the traveller confirms they are in the car.
