IDEAS 2026 Karachi is cancelled: what delegations should confirm before cars move

Start with the fact that changes every plan: IDEAS 2026 Karachi is not going ahead. The official organiser site, run for the Defence Export Promotion Organization (DEPO), now states that “due to current Geo-Strategic imbroglio, IDEAS-2026 has been cancelled”, that registration is closed, and that “the next IDEAS will be held in 2028”. The show had been scheduled for 24 to 27 November 2026 at the Karachi Expo Centre. If you booked hotels, flights or cars around those dates, the job now is to unwind or repurpose them cleanly, and to keep your notes for the next edition.

This guide does two things. First, it tells delegations, exhibitors and visitors what to check now that the International Defence Exhibition and Seminar has dropped out of the 2026 calendar, including what is actually booked into the Expo Centre that week. Second, it sets out the pre-dispatch checklist we would use for any high-security event at the venue, IDEAS 2028 included: accreditation, vehicle passes, which gate, where cars hold, and a written confirmation before a single car leaves the hotel. Treat it as a working document, not a promise. Every rule on the ground belongs to the organiser and the security agencies, and it can change on the day.

IDEAS 2026 Karachi: the decision summary

For anyone with money or people committed to that week, the short version looks like this.

• The event: cancelled by the organiser. The official site at ideaspakistan.gov.pk carries the notice and says registration is unavailable. Check it yourself before you cancel anything, and save a dated screenshot for your travel and expense files.
• The venue that week: not empty. The Trade Development Authority of Pakistan (TDAP) schedule for the Karachi Expo Centre, published in September 2026, lists the 4th edition of FoodAg across Halls 1 to 6, the foyer and both Congress levels from 23 to 27 November 2026. Parking and approach roads will still be busy, just with a different crowd.
• Your hotel and flight bookings: a commercial question between you and each supplier. The cancellation of a trade show does not by itself trigger a refund, so read each booking’s terms rather than assuming.
• Ground transport: if you had requested cars through us for IDEAS dates, tell us whether to cancel, shorten or repurpose the request. Nothing about an enquiry commits you to a vehicle, and nothing in it guaranteed one.
• Next edition: the organiser names 2028. IDEAS has historically been held in November of even-numbered years, but dates are only real once DEPO publishes them.

Defence shows attract a thicket of third-party listings: event directories, trade-fair calendars, hotel promotions and exhibitor newsletters. Some of them may still show November 2026 because nobody has refreshed the page since the organiser changed course. The rule for delegations is simple. The only authority on dates, registration and accreditation is the organiser’s own site and the contact details it publishes, which currently list an email address (info@ideaspakistan.gov.pk), landline numbers in Islamabad, and DEPO headquarters in the E-10 Defence Complex.

The venue’s own schedule is the second check. TDAP publishes the Karachi Expo Centre calendar as a downloadable file on its Expo Centre Karachi page. The September 2026 version does not list IDEAS at all, which is consistent with the cancellation. When an organiser notice and the venue schedule agree, you can plan on it. When they disagree, you phone both before you move people.

Why a directory listing is not enough

Listings copy each other, errors included. A calendar site can carry the original dates for months, and a hotel may keep selling an “IDEAS package” long after the show has gone. For a delegation, the cost of relying on the wrong source is not only a wasted trip; it is a security team, drivers and hotel blocks deployed around an event that is not happening.

The published facility sheet lists six exhibition halls (Halls 1 to 3 at 2,230 square metres each, Halls 4 to 6 at 3,345 square metres each), a three-level Congress Centre with a conference floor, and parking for 2,400 cars. Those are the figures that should shape your vehicle plan.

Take the parking number seriously. At a full-venue show, 2,400 bays are shared by exhibitors, contractors, organisers, security, visitors and media. A delegation that assumes its cars can simply wait in the car park for eight hours is building its day on an assumption nobody has confirmed. For any show, ask the organiser in writing whether delegation or VIP vehicles have a reserved holding area, whether it is inside or outside the perimeter, and whether drivers may stay with the car.

Accreditation and vehicle pass rules: what to ask, not what to assume

The IDEAS site currently publishes no accreditation or vehicle-pass procedure, which is unsurprising for a cancelled show. Anyone who tells you the IDEAS 2028 pass rules today is guessing. What you can do now is fix the questions your delegation lead will put to the organiser as soon as registration reopens, so that nothing is left to a phone call at the gate.

People

• Which categories of badge exist (official delegation, exhibitor, trade visitor, media), and which halls and days each one opens.
• What identity document each foreign national must carry at the gate, and whether the badge is collected in advance or at an on-site accreditation desk.
• The deadline for submitting names, and whether substitutions are allowed after it.
• Whether drivers, protection officers and interpreters need their own badges, or are expected to stay outside the perimeter.

Vehicles

• Whether a vehicle pass exists at all, and if so whether it is tied to a registration number, a named driver or both.
• How far in advance vehicle details must be submitted, and in what format (registration, make, model, colour, driver’s CNIC).
• Whether a replacement vehicle is allowed on the day if the planned car fails, and how quickly a pass can be reissued.
• Whether passes are valid for drop-off only, or for drop-off and holding.

That last point about replacement vehicles is the one delegations forget. If a pass is tied to one registration number and that car has a flat tyre on Shahrah-e-Faisal, a perfectly good standby vehicle may be turned away. Ask the question early, and get the answer in writing.

Expo Centre Karachi gate entry, drop-off and holding areas

Gate arrangements at the Expo Centre are set event by event by the organiser, the venue and whichever security agencies are involved. A defence show and a book fair will not use the site the same way. So the useful questions are about your event and your day, not about the venue in general.

1. Which gate: the named gate for your badge category and the named gate for your vehicles, which may not be the same one.
2. Drop-off point: where exactly passengers step out, whether there is a covered area, and how far that is from the hall they need.
3. Holding: where cars wait between drop-off and pick-up, and whether that space is reserved, first-come or not available.
4. Recall: how a driver is called forward. For example, a holding area well outside the perimeter with no radio link can turn a quick pick-up into a long wait at the curb.
5. Screening: whether vehicles are searched at the gate, and how long the organiser expects that to take at peak times.
6. Exit: whether the exit route differs from the entry route, which affects where you tell drivers to wait.

Write the answers onto a one-page site plan and give a copy to every driver and to the delegation lead. Security-day restrictions and the wider advisory picture

A high-security event can bring road closures, diversions and extra checkpoints, and these are rarely published far in advance. Nobody outside the security agencies can tell you which roads will close, so the planning assumption should be that some will, and that routes may change between the morning run and the evening return.

The UK Foreign, Commonwealth and Development Office does not include Karachi in the areas where it advises against all or all but essential travel. Its Sindh restriction covers areas north of and including Nawabshah, which Karachi sits well south of. But its safety and security page is direct about the city: it notes that attacks have taken place in Karachi, Islamabad, Lahore and other major cities, and records that in October 2024 a suicide attack near Karachi’s Jinnah International Airport killed four people. It also advises visitors to be cautious about attending any public event, to keep a low profile, and to vary routes and timings on regular journeys.

At the time of writing, the FCDO’s warnings page (updated 22 September 2026) adds that protests and marches are planned in Islamabad, Rawalpindi, Peshawar and other cities, and that earlier protests led to road closures, movement restrictions and temporary mobile and internet disruption. For a delegation, that last point matters as much as the roads: if your driver recall plan depends on WhatsApp, you need a fallback.

What that means for a vehicle plan

• Vary departure times and routes between days rather than running the same convoy at the same minute each morning.
• Agree a fixed fallback meeting point inside the venue perimeter, in case phones stop working.
• Carry printed copies of badges, vehicle passes and the organiser’s written confirmation.
• Check the FCDO Pakistan travel advice the evening before each day, not just before the trip.

The honest answer to “how long from the hotel to the Expo Centre?” is that it depends on the hour, the day and whether a large event is on. We will not print a minute figure, because a number that is right at 7am can be badly wrong at 6pm. What works for exhibition visitor transport in Karachi is a timing method.

1. Run it once, at the real hour. The day before, drive the hotel-to-gate route at the same time the delegation will leave. Note where the queues form.
2. Add the gate, not just the road. Screening, badge checks and a walk from drop-off to hall all take time. Ask the organiser for its own estimate at peak entry.
3. Protect the first appointment. If the opening ceremony or first meeting is fixed, plan to be at the gate with a buffer and accept some waiting. Arriving early at a secure venue is cheap; arriving late after a closure is not.
4. Plan the evening separately. Exit queues after a full-venue day can be longer than morning entry, and the drivers will have been on duty for many hours.
